Who we are

This notice covers The Dr. Roman Peplinski Scholarship and its website, romanpeplinskischolarship.com. The scholarship is funded and administered personally by Dr. Roman Peplinski — there is no separate organization, committee, or agency involved. You can reach us any time by email or at our mailing address below.

What information we collect

When you submit an application, you provide us with:

  • Your name
  • Your email address
  • Your school
  • Your intended field of study
  • Your expected graduation year
  • Your written responses to the application questions
  • Your optional preference for email updates about future scholarship opportunities

The application does not request transcripts, résumés, letters of recommendation, or bank details. Our records also include an application identifier and submission date. If you email us, we receive your email address, message, and any attachments you choose to send. We may need the selected recipient’s mailing address to send the award check; it is not requested on the application form.

Who can access your application

Dr. Roman Peplinski reviews applications for scholarship selection. The website’s application-review page is password-protected, and public visitors cannot retrieve submitted applications through the database’s public access rules. People with authorized access to the scholarship’s website-management account or administrative credentials may also be able to access stored applications.

Applications are stored using Lovable Cloud, our website-hosting and database service. The providers and their authorized personnel or service providers may process application data to operate, maintain, secure, or support these services, or comply with legal obligations. This is different from judging an application. We cannot promise that no third party can access the information. We do not sell applications or provide them to outside scholarship judges.

Email correspondence

The website saves applications in Lovable Cloud; it does not currently email a copy of each application or send automatic application notifications. If you contact drromanpeplinskischolarship@gmail.com, or we reply to you, Google’s Gmail service and your own email provider process that correspondence. Messages and attachments are stored in email accounts and handled under those providers’ terms and privacy policies. Avoid sending sensitive information or a copy of your full application unless needed for your request.

How your information is used

We use the information you provide to evaluate your application, communicate about this scholarship, administer the award, and respond to privacy requests. For the selected recipient, this includes arranging the $1,000 check, which is sent directly to the student within 30 days of the announcement. We do not use your written responses for marketing or fundraising. Our service providers also process information as described above to deliver and protect their services.

Optional future scholarship updates

The application includes an optional, unchecked box for email updates about future Dr. Roman Peplinski Scholarship opportunities. We save your choice with your application. Leaving the box unchecked does not affect your eligibility or selection, and does not prevent messages needed for your current application or award. Only applicants who explicitly opt in may be contacted for future scholarship updates; older applications without this permission are not opted in. The website does not currently send these updates automatically.

You can withdraw permission at any time by emailing drromanpeplinskischolarship@gmail.com from your application email address. We handle requests manually and record your withdrawal before sending further future-opportunity updates. This permission is separate from permission to publish a recipient’s photo, written responses, or personal story.

How long your information is kept

There is currently no automatic application-deletion schedule. Submitted applications remain in the scholarship’s database until manually deleted; announcing the recipient does not delete them. We have not yet established a fixed routine deletion date, so we cannot promise deletion at the announcement or within six months.

Recipient information is needed after the announcement to arrange and send the check. Email correspondence is stored separately and is not removed by deleting an application record. Deleting a record from the active database does not necessarily remove copies from provider backups immediately; those copies are governed by the provider’s backup-retention process.

Requesting deletion

You may request deletion by emailing us from the address used on your application. We will review the request, confirm your identity if necessary, and explain what has been deleted or what information still needs to be retained and why. Please specify whether your request includes email correspondence as well as the application. Deletion is handled manually, not automatically by the website. A request before selection may withdraw your application; a selected recipient’s request may affect our ability to arrange payment. Copies in provider backups may remain until those backups expire.

Public use of your story

We will never publish a recipient’s photo, essay, or personal story without first asking for and receiving separate, explicit permission. Applying for this scholarship does not grant us any right to share your information publicly.

Visitor information collected by the hosting platform

This website is hosted on Lovable’s hosting platform, which provides built-in, cookie-free visitor analytics to the site owner. It measures overall traffic: page views, visit counts and duration, traffic sources, which pages are viewed, and visitors’ general country and device type.

Cookie-free analytics does not mean the hosting service receives no visitor information. Requests to deliver and secure the website can include an IP address, browser or device details, requested page, and request time. Hosting providers may process technical information for service operation and security under their own policies. We have not confirmed the exact retention periods for those technical records or project-specific backup settings, so we do not promise that visits cannot be identified or that every copy is immediately deleted. No additional advertising, social-media pixels, or third-party analytics tools are installed in this website’s code. The private application-review sign-in uses a session cookie; that is separate from visitor analytics.
